Setting up Outlook 2003/2007 for Windows (Existing Users)
Introduction This tutorial will take you through the process of configuring Outlook
2003 to check your Statistics e-mail. Athough the process involves a number
of steps, it is actually simple and will only take about 10 minutes of your
time. The instructions are very detailed, so please be patient and careful to
closely follow the instructions in each step. Anything in bold type
denotes the most important information in the paragraph. As an added feature
of this tutorial, you can view a picture of what we're talking about by clicking
on the "View Image" button as we go along.
Outlook 2007
Outlook 2007 is similar in setup to 2003. At some point we'll have a
separate guide for it. Until then there will be notes with differences.
When you start Outlook 2007 it will attempt to do a guided setup.
This document assumes you did not use the guided setup. If you want
to use it you can, but do not use the "Auto Account Setup", set it
all manually, by checking the "Manually configure server settings or
additional server types" box.
Step 1: Opening Outlook
To use Outlook, we first need to open Outlook. There are two common
places for the shortcut to be place. First try opening the Start
Menu, and click "E-mail". If
outlook is installed correctly, it should open at this point. Please
note that if Outlook Express starts and not Outlook 2003, the program
is NOT installed.
The second place from which Outlook can be opened is under
Start >
Programs > Microsoft Office > Microsoft Outlook. If this
link does not exist, then Outlook is not installed. Computer Support
would be glad to install it for you, simply send an email to support
requesting that Outlook 2003 be installed on your system.
Step 2: Opening the Email Accounts Page The second
step is to open the "Email Accounts" configuration
page. Once you have started Outlook 2003 (step 1), click on
"Tools" in the menu bar. Once the tools
menu is open, click "Email Accounts".
Please Note: The Menu Bar is right below the title bar and lists
menus such as "File", "Edit", "View",
"Go", etc.
Outlook 2007: This is called Account
Settings...
Step 3: Adding a New Email Accont
At this point, there are four options. Select "Add a
new e-mail account", because this is what you want to
do. Once finished, click "Next" at the bottom of the screen.
Outlook 2007: This is called New...
under the E-mail tab.
Step 4: Choosing the Server Type
This step is vary straightforward. The next screen presents
five email server options. We run an IMAP server here, so select
IMAP and press "Next".
Outlook 2007: Does not have this screen.
Step 5: User and Server Information The next
page prompts you for a lot of information. We'll start at the top left
corner and progress down.
Your Name:
Enter your
full real name. (ex. Joe Smith)
E-mail Address: Enter your full
email address.
(Note: user@stat.osu.edu not ohio-state as in the
graphic)
Incoming Server:
mail.stat.ohio-state.edu
Outgoing Mail Server:
mail.stat.ohio-state.edu
User
Name: enter your stat username (ex.
statuser)
Password: enter your stat
password
This concludes the information needed to check your mail. However,
the security
settings still need set up or our mail server will not allow you
to connect. To configure the security settings, locate and click on
the "More Settings ..." button on this same
page that you've entered your information into. It should be located
almost directly above the "Next" button.
Outlook 2007: Slightly different, enter the data it
asks for, but do not use the "Auto Account Setup", set it all manually,
by checking the "Manually configure server settings or additional
server types" box. Click Next. Select Internet
E-mail. Click Next. On this screen fill in the above data,
selecting Account Type as IMAP. Do NOT "Test Account
Settings", click More Settings.
Step 6: Security Configuration
Setting up the mail server security only takes a couple of
clicks. First, make sure that you are in the "Internet
E-mail Settings" box that should have popped up
when you clicked "more settings" in the last step (Step 5). Now that we're sure you are in the right
place, click the "advanced" tab. This
will be the last tab on the right. To enable security, you need to
click on the two boxes labeled "This server requires
an encrypted connection (SSL)". Both ofthese boxes should be checked. Also, while
you're here, please confirm that the Incoming server (IMAP) port
number is "993" and the outgoing server
(SMTP) is "587". These numbers should have
changed when you checked the security boxers. If they didn't, or if
the numbers are anything other that "993" and "587"
(respectively), then please put these numbers in before continuing. View
the image if you have trouble.
Outlook 2007: Similar. On the Outgoing
Server tab check "My outgoing server (SMTP) requires
authentication", use the "Use the same settings" box. On the
Advanced tab, set the Incoming server encrypted
connection type to SSL. (The IMAP port changes to 993 automatically.)
Set the Outgoing server encrypted connection type to TLS.
Step 7: Checking Your Email When you are sure that the security settings are correct, click
"OK" at the bottom of the box, then click "Next"
at the "E-mail Accounts" screen. On the next screen, nothing
else needs changed, simply click "Finish".
At this point you have set up Outlook 2003 to check your Statistics
email.
Outlook is configured to check your email automatically every
15 minutes, but to check it manually, you need to locate
and click the "Send and Recieve" button on
the Tool Bar. Refer to the image if you cannot find the button. The
shortcut key for this action is "F9" on
the keyboard. If this shortcut does not work, make sure your function
keys are enabled on your keyboard. This usually involved pressing
a key located somewhere on the keyboard labeled "F"
or "Funct." or something similar. Note that I am not
referring to the key you use to type the letter "F", but
another special key that might also be labeled "F".
Outlook 2007: Important! To save your sent mail on
the server, not on your local machine where it is not backed up, you must:
go to the Edit menu, Purge and then Purge Options. Click on Folders.
Select "Choose an existing folder...", you should see "Sent" in the list.
Highlight it and click OK. This will direct your sent items to the
server where you can access them from any account.

Outlook 2003 is an incredibly powerful program that can do many things
including your contacts, tasks, to-do list, caldenar, and much more. It
